This Privacy Policy describes how CoachPulse ("we", "our", or "us") collects, uses, and protects your personal information when you use our mobile application (the "App").
CoachPulse is designed for coaches and teams to capture and organise coaching observations and notes.
Information We Collect
Account Information (via Clerk)
We use Clerk for secure authentication. When you create an account, Clerk collects:
- Email address
- Name
- Password (encrypted and managed by Clerk)

Coaching Data You Create
- Coaching Notes: Observations, feedback, and notes you create within the App
- Skills Observations: Non-biometric observations about skills and performance you record
Device Storage
The App stores data locally on your device to enable offline functionality.
Automatically Collected Information
- Device Information: Device type, operating system version (for compatibility and troubleshooting)
- App Usage: Basic information about app functionality usage (stored locally, not transmitted)
We do not use analytics tools or tracking services.
How We Use Your Information
We use your information solely to:
- Provide the App's core functionality
- Enable you to create, view, and manage coaching notes
- Sync your data across your devices
- Provide technical support when requested
- Ensure security of the App
Data Storage
Your data is stored in two locations:
- Cloud Storage: On Neon (PostgreSQL database) with encryption
- Local Storage: On your device for offline access
We do not transmit your data to any analytics or advertising services.
Data Sharing
We do not sell, rent, or share your personal information with third parties for marketing purposes.
Data is only shared in the following limited circumstances:
- Clerk: Handles authentication securely on our behalf
- Team Visibility: If you're part of a team, coaching notes may be visible to other coaches/administrators within that team
- Legal Requirements: If required by law or to protect our legal rights
- Service Operations: Neon hosts our database infrastructure but does not access your data for their own purposes
Your Rights
You have the right to:
- Access your data at any time through the App
- Export your coaching notes
- Delete your data by deleting your account
- Correct any inaccurate information
- Withdraw consent and close your account

Data Retention
- Data is retained while your account is active
- Upon account deletion, your data is permanently deleted within 30 days
- Local data on your device is removed when you uninstall the App
Security
We implement industry-standard security measures including:
- Encryption of data in transit and at rest
- Secure authentication via Clerk
- Regular security assessments
However, no method of electronic storage is 100% secure. We cannot guarantee absolute security.
Children's Privacy
The App is intended for coaches (18+) and is not directed at children under 13 (or 16 in the EU). We do not knowingly collect information from children.
International Users
Your data may be stored and processed in data centres located outside your country of residence. We ensure appropriate protections are in place for international data transfers.
Changes to This Policy
We may update this Privacy Policy periodically. Material changes will be communicated via:
- Email to your registered address
- In-app notification
- Update notice on coachpulseapp.com
Continued use after changes constitutes acceptance of the updated policy.
